Inviting someone

Enter their email address and they receive an invitation to create their own login.
Invite people properly rather than sharing a login. Lead assignment, activity logging, and escalation all depend on knowing who did what.

Positions

Team members have a position such as Sales Rep, Sales Manager, or GM. These matter functionally, not just as labels. Your escalation policy can alert manager or alert GM, and those actions need to know who those people are.
If positions are wrong, escalations go to the wrong person or nowhere. Worth checking when you first set up routing.

Who needs access

Anyone who has to act, not just anyone who wants to look:
  • Sales managers — orders, leads, promotions
  • Sales reps — their assigned leads and conversations
  • F&I — financing and protection products
  • Title clerks — titling action items
  • Whoever reconciles — payment reports
Anyone in your lead routing rotation must have an account, or leads will be assigned to someone who cannot see them.

When someone leaves

Remove their access

From team settings.

Take them out of the rotation

Otherwise leads keep being assigned to them and go unworked. See lead routing.

Reassign their open leads

Reassigning starts a fresh reach-out cycle so nothing sits untouched.
